A regional agency ran scheduling on TutorCruncher and billing through Stripe but parent comms lived in WhatsApp threads owned by individual tutors. Four-week build: a parent-facing portal showing session notes, homework set, progress comments, and the upcoming block — pulling from TutorCruncher, written back where appropriate. Six months in: end-of-block retention rose from 67% to 84%, parent-initiated reschedules dropped 31%, and the founder stopped doing comms triage on Sundays.
